What Should Be on a Conference Photography Shot List?

Updated October 2026 · Answered by Julian Myles, founder of Creative Soul Studios — corporate event photographers in Cincinnati, South Florida and Chicago.

The Short Answer

A good conference shot list covers six things: the venue and branding before doors open, registration and arrivals, every speaker (wide and close), audience reactions, sponsors and exhibitors, and your must-have people and group photos. Add awards, evening events and any headshot station, then send your photographer the run-of-show so overlapping moments are caught before the event, not after.

Frequently Asked Questions

Should we write a shot list or let the photographer decide?
Both. You know which people and moments matter most; an experienced conference photographer knows how to cover everything else. A short must-have list plus your run-of-show works best.

How do you handle attendees who do not want to be photographed?
Tell us your system — many events use a lanyard color or sticker — and we will keep those attendees out of the gallery.

Can you capture sponsors for sponsor reports?
Yes. Send your sponsor list before the event and we will photograph each sponsor’s signage, booth and activations.

Do you need our run-of-show?
Yes. We ask for it in advance and use it to build the must-have shot list and plan coverage around overlapping sessions.
