7 Things New York City Event Photographers Should Do Before Your Event

The seven pre-event actions that separate professional NYC event photographers from ones who show up and figure it out.

New York City's corporate event market is among the most demanding in the world. In this environment, what a photographer does BEFORE your event determines the quality of coverage as much as anything that happens on the day itself.

1. Review Your Full Run-of-Show at Least One Week Out

A professional photographer reviews your full program — session by session — at least one week before the event, so they're making decisions proactively rather than reactively.

2. Build a Priority Shot List With You

Every corporate event has a hierarchy of moments. A priority shot list means that when two important things happen simultaneously, the photographer already knows which one takes precedence.

3. Identify VIPs by Name and Appearance

New York events regularly involve C-suite executives, board members, and press contacts whose moments need specific attention — confirmed before the event, not guessed on the day.

4. Compile a Sponsor Documentation Plan

A professional photographer builds a sponsor-specific shot list mapping each sponsor's presence to specific coverage moments — one of the most overlooked and most consequential pre-event steps.

5. Scout or Research the Venue

New York's venues — the Javits Center, Pier 60, the Marriott Marquis, the Ziegfeld Ballroom — each have distinct lighting and logistical considerations that reward advance research.

6. Confirm Delivery Requirements in Writing

Same-day priority delivery, next-day press images, and sponsor packages within the week are common NYC requirements that need to be established before booking.

7. Establish Day-of Logistics and Point of Contact

Parking, check-in, vendor entrance, and press area access should all be confirmed in advance — not discovered 30 minutes before your event starts.

CSS handles all seven of these as part of every New York event engagement. Request a quote for your next NYC event, or download our event shot list.
